Basic Function of Position


The job holder serves as secretary to the Transportation Officer and administrative assistant for the Shipment Supervisor / transportation section; Time and Attendance keeper for Shipping and Travel Staff. Reviews and verifies invoices from shipping contractors. Maintain and updates Transportation web page. Act as back up secretary to supervisory GSO.

Qualifications Required

  • One year experience in a position related to travel service, transportation/shipping industry, or related field is required.

Computer Programmer
Basic Function of Position


The incumbent functions as a computer programmer in creating new and developing and updating available computer programs to suit the changing needs of the office and to prepare current event report for legislative staff in Washington.


Qualifications Required

  • A Bachelor’s Degree in Informatics, Computer Science, Engineering, Science, Mathematics or Technology is required.
  • At least three years experiences in application programming, web-page design, HTML, Internet/Intranet.

  • Must have deep knowledge in web design and programming. Must have deep knowledge in windows and database programming using following applications: ASP, HTML, VB and Java Script, MS.Net., MS Access, visual basic, SQL server.
  • Must understand basic knowledge networking protocol and concept. Knowledge of Digital Image and Scanning technology. Must have ability to logic operation, flowcharting, coding and program documentation and testing. Ability to collaborate with other staff member in program design and coding.
  • Knowledge of current Indonesian events, economics, politics, human rights, law.
Mail Clerk (Pouch Room)
Basic Function of Position


The job holder working under the supervision from Lead Mail Room operator is one of the three Mail Clerks assigned to the Mail Room.


Qualifications Required

Research Analyst (Security)

The British Embassy in Jakarta is part of a world-wide network of 230 Diplomatic Posts, representing British political, economic and consular interests overseas. Indonesia and the United Kingdom have a strong relationship, and we work closely together to promote economic prosperity and international security. In order to strengthen our engagement further, we are looking to recruit a Security Sector Research Analyst.

The primary role of the Research Analyst (Security) will be to evaluate and analyse issues such as counter-terrorism and weapons proliferation. The position will also review the progress of reform of the Security Sector in Indonesia. There will also be instances when other transnational matters need to be analysed such as counter narcotics and efforts to tackle people smuggling amongst others.

The job-holder will work in the political team at the British Embassy as well as liaising with Foreign and Commonwealth Office colleagues at other Embassies in the region and those in London, reporting to the Second Secretary at the British Embassy in Jakarta.

This will be an exciting and challenging role in the Embassy, working closely with colleagues in the political, media and communications, defence and commercial teams, as well as the British Council.

Main duties
  • Understand and report on the Indonesian government’s long and short-term policy approaches to the security sector environment.
  • Analyse and report on the regional strategic security situation and any implications this may have for the UK.
  • Maintain an excellent network of senior level contacts; across government, academia, politics, and civil society.
  • Spot innovative opportunities to help deliver UK policy priorities and offer advice on handling any associated risks.
  • Facilitate bilateral governmental visits and Embassy events.
  • Develop strong working relations with all teams in the Embassy, including UK Trade and Investment, DFID and the British Council.
Requirements:
  • Willing to start employment with a 1-year fixed term contract
  • Degree-holder, preferably with a postgraduate degree, majoring in International Security, International Politics (or similar) discipline
  • Preferably 3 years of relevant experience in security sector research, or have experienced a similar role in another Embassy or an international organisation
  • Strong understanding of the Indonesian political and security scene
  • An understanding of international relations and familiarity with the UK would be an advantage
  • Excellent communication and networking skills
  • Strong English and Indonesian language skills, both oral and written (i.e.  IELTS 6.5 or higher).

Vice Consul

Main Duties
  • Support the Consul in managing the consular teams in Jakarta, Bali and the Honorary Consul in Dili. Provide guidance and support to them, including the network of Consular Wardens across the country

  • Handle high-profile and/or difficult cases, including prison and hospital visits and issuing urgent emergency travel documents
  • Assist Consul to maintain (and test annually) the Post Emergency Plan, in readiness for any potential crisis
  • Maintain and widen contacts with and outreach to local authorities, emergency services, the public and travel industry and wider stakeholders

Requirements
  • Applicants must be willing to start the employment with a 1 year fixed term contract.
  • At least 3 years of experience in managing staff, preferably in a customer service setting.
  • Experience of a similar role in another Embassy, NGO or international organization would be an advantage
  • Experience of budget management is advantageous

General Affairs Officer - Jakarta
Duties
  1. In charge of daily management (including purchase, maintenance and repairs) of property issues regarding the Embassy chancery.
  2. Responsible for the management, as outlined above, for the Ambassador’s Residence, 4-5 diplomatic staff’s apartments/houses and the Embassy property in Puncak.
  3. Responsibility to follow-up on conditions in the renting contracts for the embassy chancery, residence and the diplomatic staff housing and keeping up the contact with the landlord’s representatives
  4. Responsibility to follow-up on contracts with service companies (air-condition, pest control, pool cleaning, diplomatic pouch
  5. In charge of issues regarding import/export of goods and  moving of incoming and outgoing diplomatic staff, including KEMLU, moving companies, customs clearance, car registration, diplomatic visas, ID cards etc.
  6. Responsible for continuous control of satellite phones and other equipment relevant to security and contingency planning.
  7. Responsible for logistics and security contacts during incoming visits.
  8. Draft diplomatic notes on relevant general affairs’ issues of the Embassy and other correspondence.
  9. In charge of the office supply storage room, including inventory and refill (after decision made by sent out staff).
Requirements
  • A minimum of 3 years of working experience in a similar position in an international organization or Embassy would be extra appreciated;
  • Experience in dealing with KEMLU, customs, and other authorities as well as with tax issues is a vital requirement;
  • Proven experience in building management and administration;
  • Experience and knowledge with handling practical issues regarding for example, electrical appliances, building management, general repairing of things.
  • Computer literate and well versed in Microsoft office applications;
  • Excellent spoken and written English and Indonesian;
  • A presentable and self-motivated team player with excellent interpersonal skills;
  • Secondary school education or its equivalent is required and training/courses in secretarial administration, engineering or technology are distinct assets.
Salary 

In accordance with the Swedish Foreign Service salary system for locally employed staff.

Working hours
 
In accordance to the standard employment conditions at the Embassy, which includes the duty to sometimes work overtime at functions or high level visitors, and to be ready to work after office hours or in the weekend when emergency repairs in housing must be done.

Main duties
 

Public diplomacy activities on the UK economy and commercial opportunities in support of UK Trade International colleagues
  • Disseminating relevant publications on the UK economy and UK commercial features to key contacts and coordinate public events related to the UK Prosperity agenda
  • Organising high level visits programmes and liaising with Prosperity fund partners on key events
Lobbying and reporting on trade policy and market access issues in support of Prosperity Team leader and UKTI
